🔹 Creating a New Opportunity

Go to Opportunities

Click into the "Opportunities" section to view all current jobs.

Initiate a New Opportunity
-
Top right corner: Click "Add Opportunity" when a customer wants to start a job.

Select or Add Customer
-
Search for the customer in the system.
-
If they don’t have an email, add it.
-
-
Name the Opportunity
-
Use the customer’s name + job description (e.g., John Smith – F-150 Wrap).

-
Choose the Stage
-
If they’re a new customer, choose "New Lead".
-
If they’re a returning customer, choose the appropriate later stage.
-

Fill Out Basic Details
-
Leave "Open" status as default.
-
Add an estimated price (e.g., $2,500) if known.
-
Skip followers unless needed.
-
Click Create.

🔹 Entering Quote & Job Details
-
After creating, click Update to open additional fields.
-
Quote Proposal section:
-
MUST be filled out every time.
-
Include:
-
Vehicle type/year (e.g., 2022–2023 F-150)
-
Type of wrap
-
Estimated cost
-
-
-
Click Update to save changes.
🔹 Moving Through the Workflow Columns
Jobs move left to right through columns based on status.

New Lead
-
Initial stage when first contact is made.
-

Design
-
Move here when the customer approves design work.
-
Can drag-and-drop or select "Design" from dropdown and click Update.

Output
-
When the designer is finished and the file is ready for production.

Vinyl Printing
-
For wraps: job is sized and ready for printing.
-
-
Install
-
Once printed and scheduled for install, move here.
-
Signals to installers that it’s scheduled and ready to go.

Drop Invoice
-
After install and walkaround is complete, move here.

Tells the secretary it’s ready to invoice the customer.

Complete
-
After the invoice is sent and job is fully closed out.

🔹 Special Columns & Their Purpose

Jim - Needs Quote
-
If pricing is unknown or needs input from the production manager (Jim), move here.

-
Quote Sent
-
Quote has been sent to customer, waiting to hear back, but design hasn’t started.

Design
-
Job is in active design phase.
-

Sent Proof
-
First/second draft has been sent to the customer.
-
Waiting on their feedback.
-
-
Waiting on Material
-
Materials have been ordered, waiting on arrival before proceeding.

🔹 Key Notes

Each column represents a different stage of the job lifecycle.

Always update the quote proposal section so the secretary can invoice accurately.
-
Move jobs manually or via dropdown menu to the next appropriate column.

Use special columns when clarification or external input is needed.
