📋 Bookkeeper/Secretary Invoice Column Overview

  • Purpose of the Invoice Column:

    • Indicates jobs that are fully installed and finished.

    • Jobs may be on a shelf, ready for pickup or delivery.

🗂 What to Look For:

  • Job Details Example:

    • Zales Detailing Yard Signs — printed on the flatbed.

  • Flatbed Printing:

    • If the flatbed checkbox is marked, note it in QuickBooks as printed on the flatbed.

  • Storage Location:

    • Look for labels like:

      • North Shelf, South Shelf, East Shelf

      • Or coded like A1, B1, etc.

    • This tells you where the item is physically located.

🧾 Invoice Information Source:

  • Found in the Quote Proposal Section:

    • Example:

      • 5 double-sided yard signs @ $20 each = $100

      • Design/artwork setup = $25

      • Total before tax = $125

      • Note: Artwork/design is not taxed.

  • Use this info to:

    • Build the customer invoice accurately.

    • Include design charges and taxable product amounts correctly.

✅ Quick Recap:

  • Check if the flatbed checkbox is marked – note it in QuickBooks.

  • Use shelf location to find the product for the customer.

  • All pricing and invoice details are in the quote proposal section.
